PROGRAM ADMINISTRATIVE COORDINATOR

The Program Administrative Coordinator reports to the Director of Afterschool Programs. This position is a key part of the program team, with the focus on detail administrative support, coordinating and organizing student events details. This position will also be responsible for daily opening the center and being the first impression to guests.

The Bridge Teen Center is an innovative, nationally-recognized nonprofit teen community center that provides FREE holistically-designed afterschool programs and events for 7th-12th grade students. RESPONSIBILITIES AS A TEAM MEMBER INCLUDE:

  1. PROGRAM AND ADMINISTRATIVE FOCUS
    1. Responsible for opening the center and greeting all guests, and answering the phone.
    2. Provide all aspects of general administrative support. Excel, Google Workspace, custom database and Microsoft 365.
    3. Support program team in event logistics (school field trips), set-up/tear-down and other creative projects.
    4. Responsible for creating a fun café experience for students; shop for snacks, oversee beverage vendor, solicit for in-kind donations, organize and maintain café.
    5. Responsible for ordering, organizing, preparing and maintaining event and facility supplies and inventory systems.
    6. Responsible for follow-up and logistics of food vendors for Friday night events and other programs.
    7. Prepare reports and custom messages directed at students and parents for weekly program confirmation. Send high volume of messages via SMS messaging software.
    8. Confirm bus sign-ups by phone / text with parents of students for Thursday pick-ups each week.
    9. Responsible for communicating and notifying school of riders (school year only) and other bus ridership issues.
    10. Responsible for uploading and maintaining program information to the backend of the website.
    11. Provide support in student retention; including mailings and SMS text messaging.
    12. Lead and respond to program confirmation calls and voicemails in a positive manner, as needed.
  2. TEAM SUPPORT
    1. Regularly pray for the organization, our students, leadership, volunteers, and our community as a whole.
    2. Will collaborate with team in creating our annual Girls' Night In Signature event (spring event).
    3. Will support team in hosting tours and on boarding students for May Membership Month.
